I was up last night thinking about our business and the services it offers. How Enterprise Mobility Will Further Penetrate AEC

Construction team working on project with tablet The AEC industry is mobile by nature—always has been. So topics like ‘enterprise mobility’ aren’t so much a discussion about what is new—but rather, what is next.

The landscape in construction today looks like this: Workers equipped with smartphones, tablets and other connected devices interacting with countless apps of all types, everyday in order to improve productivity and streamline workflow.

So at a broad level it’s safe to say that mobile has indeed permeated the AEC industry. What comes next, however, requires a bit deeper of a dig in order to uncover just how deep it will penetrate into the enterprise. Not only that, but it becomes a situation in which builders and contractors are looking to best prepare for what’s next.

When looking ahead for the AEC space, I believe it is important to evaluate the broader landscape of technology. Going forward, I see four broader trends associated with enterprise mobility with the potential of having wide-sweeping impact on how the AEC industry gets things done.

  1. Mobility Integration. Enterprise mobility is no longer operating in isolation from the rest of the enterprise. Integration with other key technologies will continue to progress, as data from these applications must be linked to back office functions and even play a greater role in processes like BIM (building information modeling).
  2. The AEC App Store. Could we soon be nearing a time when larger AEC companies are managing corporate-sanctioned apps on PCs and mobile devices? Enterprise app stores are indeed a real thing and promise greater control over the apps used by employees. Not only that, but they hold the potential for greater control over software expenditures. It’s not too far fetched to believe that as more and more large AEC firms embrace the idea of enterprise mobility that they will want to have greater control over the apps that their employees are accessing.
  3. Prime Time Cloud for Construction: Today you have major cloud vendors like Amazon AW, Google Cloud and Microsoft Azure Cloud all making a play to extend their offerings to include mobile cloud solutions and services. The AEC space is ripe for these cloud giants to extend their mobile offerings.
  4. Cloud Content is King. All those great cloud-enabled storage apps like Box and Dropbox or productivity apps like Evernote suddenly become a gateway to putting your corporate data on the public cloud. More and more, these applications are being embraced for collaboration on all levels. We are already seeing the trend where major software applications are integrating with applications like Dropbox, Google Drive, Box and One Drive, among others.

The days of early adoption with regards to enterprise mobility are well past us. In fact, being mobile is simply a prerequisite these days for getting things done effectively. Our clients have been adopting cloud-based desktops, apps and file storage.

Take as an example, Torcon, Inc. This privately-held construction management and general contracting firm is a long-time AEC Cloud client, running our hosting services for its deployment of Prolog from Meridian Systems.

The contractor is taking this system to a new level through the addition of a tablet PC-based field technology solution called Converge, which integrates with Prolog. With this mobile solution, such tasks as punch list updates, safety notices and daily field reports are available from the field. And the value does not stop there as Torcon anticipates using the mobile application for a range of additional functions like punch list management and the initiation of RFIs (requests for information).

Hosted Software: SaaS vs Hosted

AdobeStock_88855189As more businesses move their internal IT structure to an external environment, the myriad choices in hosting can often be confusing. It is a virtual alphabet soup out there: IaaS, PaaS, SaaS, cloud, hosted. The list goes on. Today I wanted to touch on hosted software and two viable options available to businesses. Hosted software vs. Software as a Service or SaaS. While the two are ultimately similar to the end user, there are advantages and disadvantages to both models.

Hosted Software

Hosted Software is a model that most of us are familiar with. In the past, software was purchased and installed on a local computer or server. The license was good for a lifetime, with upgrades purchased on an annual basis if needed. The costs of the software were all upfront with the initial purchase.

Hosted software is more or less based on this model, but the main difference is where the software is installed. Instead of it being in a local location, i.e. your personal computer or server down the hall, it is installed on a server outside of the office and accessed via a virtual desktop.

The biggest advantage of this model is the mobile aspect. The software is accessible from any terminal or device with internet access, from any location. Additional advantages include a reduction of maintenance and upgrades, off site backups, scalability of server resources, and an overall reduction in IT costs.

The software license is still purchased upfront and owned by the end user or business.

Software as a Service

Software as a Service, often referred to as a SaaS model, differs from hosted software in two main areas. First is the software is rented on a monthly basis and charged per end user. The costs of this model are spread out over time, but can add up to being more than what a hosted software model could be. Monthly charges add up over time.

The second difference is where the software is hosted. Saas is hosted by the software developer, on their servers and accessed via a web browser interface. Again, this model does offer advantages of mobility, reduced maintenance, and scalability of server resources.

One big disadvantage is ownership of the data, as the it is often stored with the vendor.

Considerations

While both models offer the end user a very similar experience, there are some things to consider. The world of IT is changing at lightening speed and it is critical that decision makers are well informed and have consultants that can help guide them through the maze of technology options. Decisions made today, can have huge impacts on business flexibility down the road, even as short as a year from now.

Hosted Software Explained

AdobeStock_88855189With all the news about cloud hosting and the buzzwords surrounding it, I thought it makes sense to take a minute and explain a little bit about what "hosted software" is. As the term suggests, it is your software that is installed and accessed on a remote server, offsite from the traditional "office". The list of benefits is long, but that is for another article.

There are two types of hosted software. Software hosted by the manufacturer on a subscription basis (Software As A Service or SaaS), and software that has been purchased and installed on remote servers to be accessed by end users. Both types of installation can be accessed via the internet and a web browser. Traditionally the software has been focused on a desktop or laptop interface, but more and more these software applications are accessible via handheld devices such as tablets and smartphones.

Hosted software is not installed on a user's machine, but instead installed on a remote server and accessed via a web browser, much like going to a website and using Gmail for example. Computing power and data processing are not dependant on the local machine, and are done solely on the remote server. In this case, the end user can get away with using a low power computer that only needs to run a web browser. In days past, end users had to have high end latest model computers to run many of the popular software programs. With hosted software, the processing power of one server can be centralized and taken advantage of by many end users.

 

Updates, patches and upgrades are all done on the one central remote server, as opposed to all the individual end user computers. This allows the closing of potentially damaging security holes in the local infrastructure.

The next biggest factor for consideration is a reduced IT budget. Purchasing and hiring a team to manage updates and troubleshooting are removed from the equation. By spreading the cost of support and infrastructure across multiple clients, the cloud hosted option realizes real time cost savings. No longer is a business required to bear the entire burden of costs associated with purchasing and maintaining an entire IT department. With this old model, the drain on resources and overall budget just don't make sense anymore.

Flexibility and scalability are other aspects of this cost savings. Are you operating servers and infrastructure that you are only using a part of? What if you need to add an additional ten users overnight? Would your IT department be able to execute that. I'm guessing probably not. With an enterprise cloud hosted model, scalability is built into the system. Scale up or down your user base, in a matter of hours, not weeks.

This new patch covers some bug fixes as well as extends the functionality of the Portal Software, giving users and administrators control over application access and management. "Unified Application Management" is the key feature of Portal Software.

Fixes Fix #1:

  • Contact Page – Windows username validation issue: When the contact's windows username contains single quote (‘), edit record feature is throwing an error. This issue is fixed in this release.

VMWorld and the Impact of Virtualization on Cloud

Myself and the crew recently attended VMWorld. 20,000 or so attendees, Bon Jovi, what's not to like. Oh, they also had powerful keynotes, significant product releases, and major licensing changes that show their commitment to cloud, customers and partners, particularly under the NIST definition. Most profound was my observation that the majority of attendees were core IT professionals. Not that I expect much different, as VMWare technology is deep in the data center, but it occurred to me that very few business people realize the impact of virtualization on our world, even less were AEC industry aware.

Why does any of this matter to AEC companies? Because many of them are struggling with Understanding cloud, developing a strategy, and delivering the benefits. Server virtualization has been the rush, and delivered without question. The problem is this is how far traditional IT takes it. They are still stuck in the infrastructure mindset vs. application. But virtualization in the broad sense, is critical to gaining efficiencies needed to deliver the broad range of applications required by AEC Companies. Beyond today's possibilities (primarily server virtualization) which assist in deployment of general line of business applications like project management and accounting software, future improvements in virtualization and related management tools will break down barriers for BIM and other intensive applications as well. It's also well positioned to improve on the essential cloud characteristic of broad access and general concept of identify based user management. This goes way beyond server virtualization, yet many have not even got their head around that.

Why does this matter overall? In terms of my career and company, we've been hooked on server virtualization since about 2007. We even had our rounds with desktop technologies like parallels and other windows virtual PC applications prior to that. We are committed to driving cloud standards and virtualization, especially when wrapped with the VMWare vision, provides a great platform to enables this. The vision of VMWare is open, and goes way beyond servers. They literally want to virtualize (abstract hardware) everything, resulting in the "Software Datacenter". I think it's critical that business people get a better understanding of Cloud and the impact of virtualization beyond servers. I'll work on some future posts to simplify and stress it's current and future importance.

The Money Behind SaaS & Total Cost of Ownership (TCO) of Cloud Hosting

Hosted offerings can be valuable for many reasons, however they can be extremely expensive if you do not understand the details behind the pricing. Most people have little experience with this type of calculation so they just look at value and toss up their hands. Offerings are getting mature though and you can get a great quality and price if you take a bit of time to understand how the costs work. Playing off My recent "Know Your Role" post, today I'll dig into the dollars behind SaaS, which generally fits into the vendor hosted model since at least today most of the AEC Space Tech Vendors do not offer third party programs for hosting providers like Microsoft, Citrix and others do. In doing this we I will break apart the cost of hosting service in general.

Note: The focus here is Hosting + Software, I am not considering implementation or any consulting services, those would arguably be the same regardless of hosting methodology. Also, the numbers are completely made up based on my general industry experience (which is a lot). Insert your own numbers to evaluate or dissect your providers, better yet ask them to do it for you so you can see the breakout.

Vendor traditional license only is $3,000 + Annual support and maintenance of 20% or $600. If we stretch that out over 36 months, then we are looking at a unit cost of $4,800 over 3 years.

Vendor hosted model is $300/month/license. I'll use that example instead of per user because this way we can accommodate named, concurrent or whatever license type you have. (for licensing clarification check my recent article on licensing).

To determine the cost of hosting, divide the $4,800/36 months and you get $133.33/license/mo. Subtract that from the $300/license/mo bundle and you get the cost of hosting only which is $166.67.

Now that you know how to do this you can negotiate better with any hosting provider type. The result will be delivery of hosting services that are an extension of your existing IT rather than buying licenses bundled in a way you can't easily scrutinize and compare to traditional IT cost management.

Beyond the calculation, here's a few more tips:

Scalability: One advantage to SaaS can be the NIST cloud characteristic of scalability (up or down). This would allow you to fluctuate monthly or hourly in some cases and realize some cost averaging over time in line with demand. However if you are locked into annual or multi year minimums, this benefit is lost.

Usage: You are likely going to get charged whether you use the licenses or not. You can either use this knowledge to negotiate better based on a percentage of usage that is realistic, or it is a concurrent model you can buy less and then scale up once you see the utilization rates. Typical rates for concurrent usage are 4:1 or better so if you own 100 concurrent licenses and only have 200 system users, then you are paying $166.66/2 or $83.33/user/mo for hosting. It's highly likely some of the users never log in, so the umber is probably even higher. Monitor this as well and avoid annual agreements that prevent you from scaling unless the discounting justified this waste.

Software + Services: If you can negotiate it, split the software cost from the hosting cost as shown in the initial calculation on this post. Once you have this you can then try to treat the licenses and hosting fees separately. For example you may own 100 concurrent licenses but if you are only paying for systems users, then you could easily adjust down to 50 during down times and easily back to 200 in up times.

Multiple Applications: If you are looking to have more than one application hosted the SaaS model typically goes through the roof because you are paying the fundamental platform fees over and over for users that access multiple applications. This is where understanding the "System User" vs. the license or application user comes in handy.
